John Ciambrone called the meeting to order at 6:04 pm. Jim made a motion to approve the minutes from the last meeting. The motion was seconded and approved.
Treasurer’s Report (Glenn)
Royalties from Malibu Shirts came in. They should be sending checks after each quarter. There are 2 checks…the larger amount is for 2018, and the smaller one is for the first half of 2019.
The check has not been sent for the Bixler ama. Needs to be done ASAP, so they get ordered. It was decided there needs to be more money aloted in the budget for equipment repairs. Glenn makes a motion to bump up equipment budget to $1500, Jim seconds the motion and it is approved by all. $1251 for the canoe wrap was not in the budget.
Jim makes a motion that if an amount is already in the approved budget, then writing a check for that item even if over $1000 does not require 2 signatures. The motion was seconded and approved by all.
New Hope gave us $250 for renting our canoe for QL race. There are a few more receipts coming in from GWCR.
Coach’s Report
The Keoua race went well. We took 3 canoes down and borrowed 1 canoe.
The GWCR was very successful, Ed received feedback that the race was very well organized. We had 7 crews racing in the Queen Lili’uokalani Race, and had canoes avaiable for clubs to use. J3 was used by New Hope, and brought in a $250 donation; J2 was used by a Newprot club, and J5 was also available but did not get utilized. Coach Ed was asked to emcee the event on Sunday in exchange for comping one of the double hull crews. Ed was hoping to have the 40’s crew comped.
3 crews will be racing in the Pailolo Challenge…40’s mixed, 50’s men & 60’s women.
Long distance practice is still going on on Tues & Thurs afternoon.
There is still talk about a crew entering the Molokai Hoe.
Equipment Report (Guy & Ed)
Kama O Kalani & Honoura are going to need some repairs/maintenance. It’s going to be taken to Bill for repairs. There is also a crack in the pelekai of J2, and many of our amas are getting damage. Guy is questioning why they are being damaged.
Jim questions if we want to purchase another spray skirt for the J7. Ed agrees, but states it is not urgent. Possibly a budget item for next year. The cost is approx. $2600-$2700.
Fundraisers
Great Waikoloa Canoe Race
John thanks Vicki for her leadership and committee and making the ran outstanding event and very successful. He also thanks Coach Ed, Glenn & Laura. The race brought in a lot of money to the club, the most in the time he has been here.
Vicki was happy how everything went smoothly and everyone worked together. She thanked Jim for the timing app. Jim suggests pre-registration for next year. Glenn & Laura took notes and have ideas/suggestions for next year. Guy mentions that Helen deserves a lot of credit, much of the money was brought in from the auction. Beth also was a big help with the auction and collection of money, so thanks goes out to her as well. Vicki took notes on the food demands as a resource for next year. There is a question about the intention of the money raised from the auction, and if it was presented as a benefit for the junior program or to supplement the food expense? This is something that needs to be discussed next month.

Members that transferred to another club for racing is not getting emails. Because of the HCRA emailing system, Chuck may decide to keep them in the system using 0000-00-00 birthdate.
New Business
Annual meeting and elections are coming up. Guy, John and Rami’s terms are up. Guy & John will not be running for the board. Rami needs to send out emails to remind anyone interested in being on the board needs to attend at least 2 board meetings during the year. The date of the annual meeting is set for Saturday, Dec. 14, 2019 at 10:00 am at Coconut Grove at Anaeho’omalu Bay. Everyone will be asked to bring pupus.
Storage continues to be an issue. No solution is suggested yet.
Rami presented a letter requesting financial support from the club for racers competing in the Pailolo Challenge. She asked for $100 per WCC paddler to assist is shipping of the canoe & entrance fee. The point was made that discussion from previous meetings was that paddlers planning to do off-island races should be doing fundraising efforts during the year to supplement costs of those races. Coach Ed also stated that every paddler that participates in off-island races should be prepared to pay for the entire cost of doing the race and not to rely on the club for assistance. However, money was left over in the budget. Guy made a motion to give each of the 24 club members that are paddling in the Pailolo race for Waikoloa Canoe Club $100 each to assist in participation in the race. The motion was seconded. Cliff & Rami abstained and all others approved the motion.
The next meeting is scheduled for Oct. 2. The meeting is adjourned at 7:41 pm.
