Board of Directors Meeting Minutes

The meeting convened at 6:12 PM on April 6, 2016, at the Waikoloa Village Association conference room.

Secretary in attendance and recorder of minutes: Kyle Combes

Board members present: Bob Risley, Mike Bernstone, Kyle Combes, Jim Albone, Daniel Legler, Lisa Legler, Harold van Doren

Board members absent: Guy Davis

Head coach Bob Risley present.

Members in attendance: Steve Columbo, Aron Risley, Chris Nilsen, John Ciambrone, Debby Ciambrone, Chris Nilsen, Vikki Serrao, Randy Ring

Vice President Bob Risley opened the meeting.

Previous meeting minutes

  • Bid to hold in Hilo, not final yet

  • Jim motions to accept minutes as amended. Unanimous approval.

Treasurer’s Report (Mike Bernstone)

  • Continuing to receive contributions to Kama O Kalani fundraiser

  • Kyle motions to accept treasurer’s report. Unanimous approval.

Moku Report (Lisa)

  • Coach’s meeting on April 16 in Waimea @ Community Center, 9 AM

  • Friday, April 22 east-side canoe weighing

  • Saturday, April 23 west-side canoe weighing & club shed cleaning day

  • New Moku website up and running, not linked to on HCRA website yet

Coach’s Report (Bob)

  • Still trying to recruit paddlers and form crews

  • Proposed practice schedule:

    • Adults Monday – Thursday: 6:15am – 7:45am

    • ‘Ohana Tuesday, Thursday & Sunday: 8:00am

    • Keiki Tuesday & Thursday: 4:00pm – 5:00pm

    • Adults Tuesday – Thursday: 5:00pm – 7:00pm

    • Saturday: adults @ 7:00am, keiki @ 9:00am

  • Daniel makes motion to accept proposed practice times. Unanimous approval.

Equipment Report

  • Mike Bernstone working on turn flags

  • Larry has new wheel bearings for one of the dollies

  • Ray just returned from New Zealand, working intently on Kama O Kalani

    • Jim will look for registration in his truck

Condition of Ho‘omaluo

  • Back in action, leaks sealed

Fiberglass canoe repair update

  • Mike Bernstone almost finished with J2, last one

  • Jim makes motion to purchase new set of ‘iakos for Kama O Kalani. Unanimous approval.

  • Daniel will call and place order

Fundraiser status

  • Haven’t heard from anybody at Pinosh or Ocean Sports

  • Could use a few more people for Lavaman on 4/9 (6:30am) & 4/10 (7:30am)

    • Kyle will send out email for more volunteers, mention no practice Saturday or rec Sunday

  • Kama O Kalani: $22,500 so far (including $5,000 HCRA grant), another $4,500 promised

Bylaws

  • Daniel makes motion for bylaws committee to word section to establish 3-year Board term limits with staggered elections. Vote: 5 in favor, 1 abstention. Motion passed.

  • Any conditions: Sammy Texiera, Jeb, Jim, Lisa, Bob & Aron Risley, Ted, Daniel, Lyle, Jun, Loki, Julie Barreto, Mike Bernstone

  • Mild to moderate waters: Harold, Guy Davis, Mike CQ

  • In training: Randy and Rami Ring

Board vacancies

  • Ted resigned, Harold resigning April 25

  • President decides to replace vacancies, will come up with appointees and email proposal to board for email approval

Canoes for businessman regatta practice

  • Randy Ring would like to borrow two canoes Thursday, 4/7 to prep his crew for the businessman regatta

  • Daniel makes a motion to approve Randy’s request to borrow canoes, contingent on weather. Unanimous approval.

Next meeting scheduled for Wednesday, May 4, 2016 at 6:00 PM at Waikoloa Village Association conference room.
